Your financial provider is providing you with an easy-to-use solution to share your Accounting information with them. This means no more collecting PDFs and sending them via email. This is a safe and secure option for sharing the data needed. If you’re leveraging Quickbooks Desktop, these are the instructions to follow.
These steps are for your business customer. when your business customer navigates to the Railz Sites™ link you shared or to the hosted Railz Connect™ widget, the accounting services will be displayed as below.
The business customers will then have to select Quickbooks Desktop from the list of accounting services and click continue. In the next window, the user will be prompted to download the Quickbooks web connector and a Railz configuration file.
Step 1 of 6
Install QuickBooks Web Connector on Windows.
Download the installer.
Right-click the installer download, then choose Extract All.
In the extracted folder, right-click the .exe file, then choose Run as Administrator.
Follow the prompts to complete the installation.
The QuickBooks Web Connector operates on a user level, meaning it does not require administrator privileges/rights to run on most systems. Some stricter corporate policies may require admin rights to run; in these instances, users should be familiar with their internal process for requesting permission from the IT department.
Follow the below steps if you run into an error.
If you get an error after installing the web connector, you can uninstall and reinstall it.
On your keyboard, press Windows+R.
In the Run window, enter the "control panel" and select OK.
Select Uninstall a program.
Select Web Connector, then Uninstall. If you can't find QuickBooks Web Connector in the control panel, delete the QBWebconnector folder in these locations:
-C:\Program Files(x86)\Common Files\Intuit\QuickBooks\ or,
-C:\Program Files\Common Files\Intuit\QuickBooks\
Please note that Railz does not fix issues related to older versions of QuickBooks Desktop. Upgrade to the latest version of QuickBooks Desktop to continue using the QuickBooks Web Connector.
Download the .qwc configuration file
Before adding an app to the QuickBooks Web Connector on Windows, download the Railz .qwc configuration file from Railz. The business customers will be prompted to download this file in Step 1 of 6 when setting up Quickbooks Desktop On Railz Sites™ or Railz Connect™.
Each business will have access to a unique configuration file with the following name convention: Railz-[BUSINESS_NAME].qwc.
Businesses must save their unique Railz .qwc configuration file before proceeding.
Note that the QuickBooks Web Connector will require this file.
Click on the ‘Next’ button when the above steps are completed.
Step 2 of 6
On QuickBooks Desktop, navigate to File >> App Management >> Update Web Services, to add a new application. This will launch QuickBooks Web Connector.
Click ‘Next’ to navigate to the next window on Railz when the above steps are completed.
Step 3 of 6
In this step, the business customers will be asked to configure daily accounting data retrieval by clicking "Add Application" and selecting the Railz .qwc file that was previously downloaded.
Click ‘Next’ on the Railz end when the above steps are completed.
Step 4 of 6
The business customers will then be asked to Confirm authorization, then select Railz QuickBooks Desktop Connector.
When the above steps are completed, click ‘Next’ on the Railz end to move to the next window.
Please do not allow access to personal data.
Step 5 of 6
In this step, confirm authorization prompt, then select Railz QuickBooks Desktop Connector.
A password will be displayed on the Railz end as displayed in the below screenshot. Please provide the password when prompted and save it for reconfigurations.
Click on the ‘Next’ button when the above steps are completed
Step 6 of 6
With Railz QuickBooks Desktop Connector selected, click "Update Selected" to authenticate and start data retrieval.
You do not need to wait for the sync to complete before clicking next.
When the above steps are completed, click on the ‘Next’ button. Railz will display a success message like in the screenshot below if all the configurations were done successfully as instructed.
